Explanation of the Open University
In essence the description showed that the university
consists of defined entities
-
the directorate of the University with supervisory functions
-
the faculties with functions in teaching and research
-
the “centre d’études” providing resources
-
a centre of different interrelated institutions responsible
for administration, research and teaching (COP,OTIC, OuE, E&I)
All functions have common responsibilities and personnel,
however the latter entity (COP, OTIC etc.) clearly interacts with all other
university functions and may be regarded as the producing centre of the
university. It is composed of administrative functions like statistics
about the students, teaching functions including the production of teaching
material and fundamental research. They assure the support for the faculties
and the resource centres.

The strict hierarchical structure of the supervisory
body is represented by a traditional organigram with defined, immobile
links between the function and the classical vertical/horizontal organisation.
The producing centre is highlighted by grey shading
of the field where no links exists. This allows free flow of resources
into any direction towards faculties, resource centres or supervisory administration.
The participation of the faculties and resource
centres is represented by a partial overlap of the graphical elements with
the management centre.
The input into supervisory functions is symbolised
by arrows.

Program choice
The program used to set up the organigram was Power
Point. It was utilised as it provides tools to establish diagrams (ex.
shapes, lines, text).

Encountered difficulties
Problems occurred while using Paint Shop Pro 4.1 to
resize the organigram (colours lost quality). My competence using this
program to solve the problem wasn’t enough.
The interactions of the university functions would
better be symbolised by a sequence of pictures with moving elements and
flow interaction for which my technical skills were not sufficient.
The current organigram is a compromise which allows
the best representation of the organisation in a single diagram.
